Alibaba Samples: How to Order, Compare Costs and Approve

Request Alibaba samples with a clear scope, understand an itemized sample bill and use a filled two-sample review sheet before approving production.

Stock, custom and production-batch samples provide different information and should be labeled accurately.
Request a sample for the features you need to approve.

Order an Alibaba sample to resolve a specific buying decision: product construction, a custom feature or the version you want reproduced. Agree the sample, total bill, dispatch date and review criteria before paying.

Choose a stock sample to examine an existing product. Choose a customized sample when your decision depends on changes such as a logo, new dimensions or packaging. The review sheet below shows how to approve some features while keeping others open.

How to order samples from Alibaba

  1. Choose the product reference and identify the features you need to evaluate.
  2. Request a stock or custom sample that represents those features, with differences listed explicitly.
  3. Confirm the sample cost, preparation work, packaging, delivery scope and dispatch estimate in writing.
  4. Save the agreed request with the supplier conversation and sample-order record before payment.
  5. Label the received sample by version, record the checks below and send one consolidated approval or correction list.

Alibaba sample costs: separate the item, setup and delivery

Example. A listing shows US$4.50 per organizer for 120 units. A custom sample bill contains US$12 for the item, US$25 logo preparation, US$3 packaging and US$35 courier transport. The total is US$75 before excluded destination charges.

That breakdown identifies what to change. If you only need to check stitching first, request the cost of an existing stock sample. If the logo is the deciding feature, retain logo preparation and specify the artwork and position. Use the MOQ comparison separately for the production run.

Send a sample request with a clear approval scope

Sample request template

Hello [name], we would like to evaluate [product reference] against specification [version]. Please confirm whether you can supply [sample type and quantity] with [required material, size, color and customization].

Please list any differences from the proposed production version, sample and setup charges, packaging, shipping to [country/postal code], and the expected dispatch date. Please also confirm which sample costs, if any, could be credited against a future order and the conditions.

We will evaluate [specific features] before discussing a production order. Please label the sample with its reference and version so we can connect it to this quotation.

Have the supplier confirm the dispatch milestone and what must happen before preparation starts, such as artwork approval. Track dispatch separately from arrival. Record sample charges and any conditional credit in your quote comparison.

Prepare the review before the package arrives

Write the features, measurement method and acceptance criteria beside the specification version. Photograph the sample label and each discrepancy. For the organizer example, use the same width measurement on both samples and record seams, logo and sleeve separately.

Sample A measures 30.2 cm, within the example brief’s 30 cm ± 0.5 cm range. Sample B measures 28.9 cm, below its 29.5 cm lower limit, and has an open corner seam. Ask B to correct size, seam and packaging before a new review.

Approve A’s reviewed construction provisionally and request version A-02 with the logo. The logo field remains open until that version is reviewed. Save the measurement photos and specify the changes expected in A-02.

Approve an identified sample version against named features, with unfinished checks left open. For A-01, write “construction accepted against specification A; logo not evaluated; awaiting A-02.” That record makes the scope clearer than a blanket “sample approved” message. Before ordering the next version, confirm its preparation and shipping charges and any agreed credit or correction terms; the first US$75 bill is not a quote for every revision.

Invented sample observations: A measures 30.2 centimeters and B 28.9 centimeters against an example width of 30 plus or minus 0.5 centimeters. Neither sample evaluates the requested logo.
Keep accepted features and pending corrections in the same approval record.

For a lamp, add model and document checks

An EU mains LED desk lamp needs more than a finish comparison. Record the sample model, rating label, plug, controls and supplied instructions beside the quotation. Prepare the applicable technical and compliance review for that configuration.

Keep physical sample approval and document review as separate entries. If the documentation identifies a different configuration from the sample, hold that entry open and request the matching evidence. Convert approval into a production reference

Send a written approval naming the sample ID, specification version, accepted features and open items. Keep the labeled physical sample where practical and agree a reference with the supplier. Require review of proposed material, component or print changes.

Agree a separate inspection plan for the production batch, specifying what will be checked, when and against which approved reference. SGS outlines product inspection at different production stages. Frequently asked questions

Are Alibaba samples free or refundable?

Use the supplier’s written offer. It should state the amount charged now, any credit toward a later order, and the conditions for that credit. Keep item, setup and courier costs separate; a credit for the item may cover only one part of the bill.

How many samples should I order?

Start with the decisions still open. Comparing two constructions calls for representative samples of both; approving a changed logo calls for that logo version. Agree a separate sampling plan for a production batch rather than applying the prototype count to batch inspection.
